MedLoom ("MedLoom," "we," "us") is a web-based platform that helps pre-medical students organize their academic, experience, MCAT, and medical-school application journey. This Privacy Policy explains what information we collect through the application, how we use it, and the choices you have.

Information we collect

• Account information. Your name and email address, which you provide when you create an account.
• Profile and planning information. Information you enter about your academic level, school, major, GPA, MCAT target date and scores, and study preferences.
• Academic and experience records. Courses, grades, prerequisites, clinical, research, volunteering, shadowing, leadership, and employment experiences you choose to log.
• MCAT preparation data. Study sessions, practice full-length scores, and error notes you record.
• Application tracking data. Medical schools you are considering or applying to, recommendation letters, and personal statement drafts you save.
• Story Bank and reflective notes. Reflective entries you write and any tags or links you add to them.
• Calendar events. Study, clinical, and personal schedule entries you add to your MedLoom calendar.
• Conversations with Ask MedLoom. Questions you submit to the Ask MedLoom assistant and the responses you receive, which are stored so you can revisit them.
• Subscription information. Your plan, billing interval, trial dates, and limited billing identifiers provided by our payment processor so we can manage your subscription (see "Payments" below).

How we use your information

• To provide your account and the MedLoom features you use.
• To save and display the academic, planning, and application records you create.
• To personalize Ask MedLoom responses using the context you have entered, when AI personalization is enabled (you can turn this off in your Profile).
• To manage your subscription, trial, and access level.
• To respond to your support, privacy, and account-deletion requests.
• To operate, maintain, and improve MedLoom.

Payments

MedLoom+ subscriptions are billed through Stripe, our payment processor. Payment information such as card numbers is handled by Stripe; MedLoom does not store full payment-card details. We retain limited subscription identifiers from Stripe so we can manage your plan and access.

How we share information

We share information with service providers that help us operate MedLoom, such as our payment processor (Stripe) and the platform and hosting infrastructure that runs the application. These providers process information only as needed to deliver their services and under their own obligations. We may also disclose information when required by law or to protect the rights, safety, or integrity of MedLoom and our users.

Account and security

Your account is protected by the authentication system used to sign in. Each user's records are associated with their account, and access is scoped so that one user cannot access another user's records. You are responsible for keeping your login credentials secure.

Data retention and deletion

We retain personal information for as long as reasonably necessary to provide MedLoom, maintain your account, comply with applicable legal obligations, resolve disputes, and enforce our agreements. You may request deletion of eligible account information through available account controls or by contacting support.themedloom@gmail.com.

Cookies and similar technologies

MedLoom uses session and authentication tokens that are necessary to keep you signed in and to provide the Service. The Service may rely on cookies or similar technologies required to operate and maintain your session. If you have questions about specific technologies used to operate the Service, contact us at the email below.

Your privacy choices

• Access, review, and edit the information you have entered within the app.
• Turn off AI personalization in your Profile if you prefer Ask MedLoom not use your entered context.
• Delete your application data through Profile settings or by contacting us.
